How we use your details
Last updated 1 November 2026
This notice explains what happens to personal details you give KYLANTIC through this website, by email or by phone, and what the website itself collects. We keep it short because we collect very little.
Who we are
KYLANTIC LTD is the data controller. We're registered in England and Wales, company number 17544416, and our registered office is 71-75 Shelton Street, Covent Garden, London WC2H 9JQ. That address is for post only. To ask about your details, email info@kylantic.co.uk.
What we collect
- The contact form: your name, email address and message, plus your company and phone number if you add them. The message is emailed to us and isn't stored on the website. To stop spam, the form keeps a scrambled (hashed) form of your IP address and the times you sent it for about an hour. They are deleted the next time anyone uses the form after that.
- Email and phone: what you choose to tell us, your email address or phone number, and our replies.
- Visiting the site: your browser sends your IP address and basic device details to our host, IONOS, to load each page. IONOS keeps these in its server logs for a limited period to deliver the site and keep it secure.
- Analytics, only if you accept: how you use the site, through Google Analytics. See Cookies and analytics.
Why we use it
- To reply to your enquiry and, if you want to work with us, to prepare a quote and agree the work. Our legal basis is our legitimate interest in answering business enquiries, or taking steps you've asked for before entering a contract.
- To deliver the website and keep it and the form secure. Our legal basis is our legitimate interest in running a working, secure website.
- To understand which pages help visitors, using analytics. Our legal basis is your consent, which you can withdraw at any time.
We don't add you to mailing lists, and we never sell or share your details for marketing.
Cookies and analytics
We use Google Analytics 4 to count visits and see which pages are useful, but only if you press Accept analytics in the banner. Until then, no analytics script loads and no analytics cookies are set. If you accept, Google Analytics sets two cookies:
- _ga tells one visitor from another. It expires after 13 months.
- _ga_MVXC6D23M7 keeps track of your current visit. It expires after 13 months.
Advertising features and Google signals are switched off, so this data isn't used for ads. Your choice is saved in your browser's local storage, not in a cookie, so we don't ask on every page. To change it, use the Cookie settings link at the bottom of any page.
Who handles it
IONOS hosts this website and our email, and handles your details for us under its data processing terms. We read and answer email in Gmail, provided by Google. If you accept analytics, Google also processes visit data for us through Google Analytics. Google may process data in the United States. Google LLC is certified under the UK Extension to the EU-US Data Privacy Framework, which the UK treats as giving adequate protection. Email info@kylantic.co.uk for details of these safeguards. Nobody else sees your details unless the law requires it.
How long we keep it
- Enquiries that don't lead to work are deleted within 12 months.
- If you become a client, we keep billing records for six years from the end of the financial year they relate to, because HMRC requires it. We keep project records for six years after the work ends, in case of a contract claim.
- Analytics data is kept in Google Analytics for up to 14 months, then deleted.
Your rights
You can ask to see the details we hold about you, correct them, delete them, limit how we use them, object to how we use them, or get a copy in a format you can reuse. You can withdraw your analytics consent at any time with Cookie settings. Email info@kylantic.co.uk and we'll respond within one month. If you're unhappy with how we've handled your details, you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.
